Family Office Software in Dubai (2026): Real AED Build Costs vs USD 70,000 Platform Licences

Short answer: in Dubai in 2026, a purpose-built family office platform costs roughly AED 55,000-120,000 for a consolidated asset register and multi-entity ownership map, AED 70,000-180,000 for portfolio and performance reporting with a family member portal, and AED 180,000-450,000 for a full platform covering cash, documents, approvals and audit trail. The imported alternative - Addepar, Masttro or Eton Solutions - starts at roughly USD 50,000-70,000 per year (about AED 184,000-257,000) and is licensed, not owned, forever.

That is the whole decision in two numbers. A Dubai single family office that buys an enterprise licence at the entry tier spends more in five years of subscription than it would to build and own a platform shaped around its actual entity tree. And the entity tree is the point: no off-the-shelf product knows your free zone holdcos, your onshore trading arm, your DIFC foundation and your villas in Jumeirah the way a system built against your own structure does.

Why Dubai suddenly has a family office software problem (awareness)

Three numbers explain why this question arrives in our inbox most weeks now.

The structures are multiplying. Family-related entities in DIFC reached 1,408 by H1 2026, up 36% year on year, with Foundations climbing 67% over the same period to pass 1,400. Wealth management firms in the centre now exceed 500, after 22% growth during 2025. DIFC is home to more than 600 active entities affiliated with top family businesses, including over 120 of the world's wealthiest families with combined net worth above USD 1 trillion. Dubai's own top 120 families manage more than USD 1.2 trillion globally.

The capital keeps arriving. The UAE is projected to lead the world for millionaire inflows for a sixth consecutive year in 2026, gaining 12,000-plus millionaires, a 23% increase on the prior year, out of a record 165,000 relocating internationally. Each arrival brings a structure, a reporting requirement and a bank that wants a statement pack.

The handover is now, not later. An estimated AED 3.67 trillion (USD 1 trillion) of family-owned assets is expected to pass to the next generation across the Middle East within the decade. In the UAE, around 90% of private companies are family-owned, employing more than 70% of the private sector workforce, and family businesses account for over 40% of Dubai's GDP. Globally, only 30% of family businesses reach the second generation, 12% the third and 3% the fourth.

Most Dubai family offices get this wrong: they treat software as a reporting convenience and succession as a legal exercise. It is the reverse. The reason the third generation loses control is almost never the will or the shareholders agreement - it is that nobody except one trusted uncle and one accountant actually knows what the family owns, where, through which entity, and at what valuation. That knowledge needs to live in a system, not in a head.

And it mostly does not. The Campden Wealth and RBC North America Family Office Report 2025 found 65% of family offices still report that manual processes remain prevalent in their reporting and wealth aggregation workflows. In practice that means a quarterly pack assembled from eleven bank PDFs, two broker CSVs, a property manager's WhatsApp message and a spreadsheet that only one person can safely open.

What a Dubai family office system actually has to do (consideration)

Forget the vendor feature grid. In the UAE, five jobs decide whether the software earns its keep.

1. The ownership map, not the portfolio

A Dubai family typically holds assets through a mix of DIFC or ADGM foundations, mainland LLCs, free zone holdcos, offshore vehicles and personal names. The first deliverable is a machine-readable entity graph with percentage ownership, so that a single villa or a single bond shows up correctly at family level, at branch level and at individual beneficiary level. Every downstream report depends on getting this right. Most spreadsheets fudge it.

2. Consolidated valuation across liquid and illiquid

Listed securities are the easy part. The hard part is real estate at DLD valuation, private equity at last round, gold, art, yachts and intercompany loans - each with its own update cadence and its own source of truth. The system needs a valuation history per asset, not a single current number, or you can never explain a performance figure.

3. The accreditation and licensing reality

DIFC's family office regime requires the family to meet a minimum net asset test of USD 50 million (about AED 184 million) at fair market value across all family members, entities and structures - not just liquid investments. A qualifying single family office needs no DFSA licence; a multi-family office carrying out restricted financial activities does. On cost, DIFC charges roughly USD 20,000 in year one (about USD 8,000 one-off incorporation plus a USD 12,000 commercial licence charged annually), against roughly USD 5,600 in ADGM, with indicative all-in year-one setup commonly landing in the USD 25,000-50,000 range once advisory and structuring are counted. If your software cannot produce the net asset evidence on demand, accreditation and renewals become a fire drill.

4. Two reporting regimes with real fines

UAE Reporting Financial Institutions must complete CRS and FATCA submissions - including nil returns and the mandatory risk-based assessment - by 30 June 2026 for the 2025 reporting year. Failure to file a FATCA annual or nil report draws AED 20,000. CRS failure draws AED 50,000, plus AED 1,000 for each day it continues up to AED 100,000, and administrative penalties of up to AED 250,000 apply for significant violations from 31 March 2026. This is enforced, not theoretical: in March 2025 the Central Bank imposed AED 2,621,000 of sanctions on five banks and two insurers for CRS and FATCA violations.

5. Tax status that the data has to support

On 18 November 2024 the Ministry of Finance issued Ministerial Decision No. 261 of 2024, replacing Ministerial Decision No. 127 of 2023 and effective retrospectively from 1 June 2023. It sets the rules under which an entity meeting the Article 17 conditions of the Corporate Tax Law qualifies as a Family Foundation and may apply to the Federal Tax Authority to be treated as a tax-transparent Unincorporated Partnership. Separately, Federal Decree-Law No. 37 of 2022 on Family Businesses - issued 3 October 2022 and in force from January 2023 - created the Ministry of Economy's Unified Family Business Register, with incentives and dispute mechanisms attached to registration. Both regimes reward families who can evidence beneficiary classes, distributions and entity relationships cleanly. Spreadsheets cannot.

One more constraint that catches people: if your family office sits in DIFC, you are under DIFC Data Protection Law No. 5 of 2020, amended 8 July 2025, not only the federal PDPL. Administrative fines run from USD 25,000 to USD 100,000 - USD 25,000 for failing to register with the Commissioner, USD 50,000 for failing to appoint a Data Protection Officer, and the maximum for failing to run a DPIA before high-risk processing was raised from USD 20,000 to USD 50,000. A family wealth database is about as high-risk as processing gets. Our UAE PDPL compliance checklist covers the federal side.

Buy the platform or build your own? (decision)

Here is the honest comparison, in the currency the licence actually bills in.

Custom Dubai build (Aquarius)AED 55,000-450,000 one-off by scope, plus care plan4-20 weeks by moduleRepository, database, domain and data

Enterprise family office platforms commonly sit in the USD 50,000-250,000 per year band. At the entry tier alone - USD 70,000, roughly AED 257,000 a year - five years costs about AED 1.28 million and ends with nothing transferable. That is the conversion number worth sitting with: a full custom platform at AED 180,000-450,000 plus a care plan is usually paid back inside the second year, and the asset stays on your balance sheet.

Buying still wins in one clear case: a multi-family office with hundreds of client households and a need for the vendor's existing custodian feed network. If that is you, buy. If you are a single family with 20-80 entities and a reporting pack nobody trusts, build.

How Aquarius builds family office software in Dubai

We are a Dubai web, app and AI studio, and three things follow from that. We scope to a fixed price and a fixed date before writing code, because a family office board will not approve an open-ended estimate. We build on stacks you can hire for in the UAE, so you are never hostage to one vendor or one developer. And you own the repository, the database and the domain from day one - see our note on ownership and handover.

For families who want AI summaries or document extraction over wealth data without shipping it to a public model, we deploy the model inside your own tenancy; the mechanics are in our guide to private LLMs and data residency in Dubai. And where the structure includes a regulated entity, the screening and CDD plumbing follows the same pattern as our AML and KYC compliance software work.

FAQ

How much does family office software cost in Dubai?

A custom build runs AED 55,000-120,000 for a consolidated asset register, AED 70,000-180,000 with reporting and a family portal, and AED 180,000-450,000 for a full platform, plus AED 4,000-15,000 a month of care. Imported enterprise platforms license at roughly USD 50,000-250,000 per year, which is about AED 184,000-918,000 annually and never becomes yours.

What is the minimum size to set up a family office in DIFC?

The family must meet a minimum net asset test of USD 50 million, measured at fair market value across all family members, entities and structures rather than liquid investments alone. DIFC licensing is around USD 20,000 in year one, with all-in setup commonly USD 25,000-50,000 once advisory work is included. ADGM's licence fee is materially lower at about USD 5,600.

Does a single family office need a DFSA licence?

A qualifying single family office under the DIFC regime needs no DFSA licence and no DNFBP registration. A multi-family office providing restricted financial activities - investment management, fiduciary services or financial advisory - does require DFSA licensing. Confirm your own position with counsel before you scope software around it.

When are CRS and FATCA reports due in the UAE?

By 30 June 2026 for the 2025 reporting year, including nil returns and the mandatory risk-based assessment. FATCA filing failure is AED 20,000; CRS failure is AED 50,000 plus AED 1,000 per day up to AED 100,000, with administrative penalties up to AED 250,000 for significant violations from 31 March 2026.

Can a UAE family foundation be tax transparent?

Yes, where it meets the Article 17 conditions of the Corporate Tax Law it may apply to the Federal Tax Authority to be treated as a tax-transparent Unincorporated Partnership, under Ministerial Decision No. 261 of 2024 - issued 18 November 2024, replacing MD 127 of 2023 and effective retrospectively from 1 June 2023. The application is the family's to make with its tax adviser; the software's job is producing the beneficiary and distribution records that support it.

Can you integrate with our existing accounting system?

Usually yes, and usually cheaper than replacing it. Most Dubai family offices keep bookkeeping where it is and add the ownership map, consolidated valuation and reporting layers on top, syncing balances and journals. That is the first two rows of the table above rather than a full platform build.

Next step

If you are running a Dubai family office where the quarterly pack takes two weeks to assemble and only one person can rebuild it, the useful first move is small: a two-week scoping pass that maps your entity tree, lists every data source, flags the CRS, FATCA and net asset evidence gaps, and returns a fixed AED price per module. Talk to Aquarius and we will send the readiness checklist with it, no obligation.
